  • Overview

    We are seeking a Human Resources/ Retirement Plan Specialist who will be responsible for administration of the Company’s Retirement Plans (which includes the 401K and Employee Stock Ownership Plan (“ESOP”), designing and delivering communications, educational materials and programs that drive employee engagement along with an employee ownership culture throughout the organization. This individual will work very closely with all levels of employees and management. This position will also work closely with the HR Director to ensure employee packages are in alignment with company policies and guidelines, are competitive, and are compliant with appropriate regulations.


    • Manage day to day administration of plan including employee inquiries
    • Ensure all plan documentation and amendments are maintained and provided to employees as required
    • Develop processes and systems to ensure appropriate materials are effectively communicated to employees who reach milestone events with their retirement plan including new hire, vesting completion, diversification eligibility, qualifying events or termination
    • Ensure that materials for the ESOP plan include details of the benefits and ownership culture aspects of the plan and annual ESOP statements are communicated to all eligible employees
    • Review plan documents, understand retirement plan provisions and accurately apply to participant circumstances
    • Recommend plan administrative changes and amendments
    • Document and inform the committee of plan material items as appropriate
    • Perform administrative duties to support the retirement plans
    • Leads and conducts 401(k) and ESOP training for employees, and employee ownership events
    • Leads the efforts of the ESOP Communications Committee and develops a charter and roles and responsibilities of the committee
    • Leads the efforts to identify and implement plan administration efficiencies and cost savings
    • Responsible for maintaining accurate, timely and well-organized computer and paper records and files for the retirement plan
    • Monitor the ESOP plan’s repurchase obligation level and conduct formal study as required. Prepare and review all data necessary for the study, analyze the results, and make recommendations for ESOP funding strategies and policies to manage the long-term repurchase liability
    • Stay current on applicable regulations and fiduciary responsibilities
    • Participate in total compensation, compensation, and benefit market surveys
    • Monitor reviews of compensation and benefits packages to maintain market positioning
    • Monitors benefit trends in the business environment and must stay abreast of applicable benefits legislation
    • Work with 3rd party record-keeper and retirement plan auditors to complete the following:
    • Prepare census data from ADP payroll system for 401K and ESOP nondiscrimination testing
    • Coordinate testing process with 401K and ESOP record-keepers
    • Prepare ESOP financial statements
    • Review all testing results and analysis reports to ensure compliance and accuracy
    • Review ESOP distribution and diversification elections for accuracy
    • Review and approve distribution of ESOP statements
    • Provide data for Form 5500 to 401K and ESOP record-keepers
    • Review Form 5500 and related schedules for accuracy and compliance
    • Ensure timely filing of Form 5500
    • Facilitate EPCRS adjustments and corrections as needed
    • Other compliance requirements as needed
    • Performs other duties as assigned




    • Bachelor’s degree or equivalent experience required
    • 5 years relevant and hands on retirement plan experience required; preferably ESOP experience
    • Familiarity with ERISA laws and regulations required
    • Strong interpersonal and customer service skills required 
    • Understanding of rules and regulations associated stock plans, deferred compensation, employee stock purchase programs and qualified retirement plans required
    • Intermediate to advanced knowledge of MS Excel, Word, Outlook, and PowerPoint required
    • Excellent attention to detail and accuracy required
    • Excellent analytical skills required
    • Strong verbal and written communication skills required
    • Demonstrated ability to interact with and build relationships with employees of all levels and functions within the organization required
    • Ability to work independently, effectively and efficiently, in addition to being a positive team member required
    • Ability to maintain an organized, historical and current, filing and reporting system required
    • Has knowledge of commonly-used concepts, practices, and procedures within compensation and benefits systems required
    • Hands on/ practitioner experience within ADP's Workforce Now preferred
